When you book and make payments through these websites, the receipt must show a balance of $0.00, rates of the room and a break down of taxes.  Usually, these websites won’t show these things, so then you must show proof the transaction is valid by submitting a copy of the statement (i.e. credit card, bank, etc.) that shows the correct charge.  If you can’t produce this, then you won’t be reimbursed!  

Remember, as a sport club, you receive a discount through Motel 6, without having to pay for the reservation, if you access this link .  If you have to pay for this reservation to receive a better deal (i.e. advance internet deal on most hotel websites), you may use the Travel Credit Card to secure the reservation.  However, use these travel websites as an absolute last resort.  I know they provide great deals, but it’s a pain reimbursing for these expenses when the University requires specific documents that these websites can’t produce.

Effective immediately, TTU will no longer produce checks for cash advances and reimbursements for travel expenses.  Instead, they will now use direct deposit for these monies.  Now, sport clubs will be written checks from the Executive Council account, and you may deposit the monies into your club’s checking account to be handled accordingly for your travel or reimbursement.  Email jonathan.elliott@ttu.edu for any questions.

Tax-Exempt Status


Student organization registration does not imply tax exemption. Only university departments and offices may use Texas Tech’s tax ID number. Student organizations do not fit neatly into I.R.S. categories for non-profit and tax exempt status.

  • Some other organizations who are nationally affiliated may be tax-exempt. Contact the national office to determine your group’s status.
  •  Groups not affiliated with a national organization are probably not tax-exempt unless they have applied directly to the I.R.S. for this status.


Applying for Tax-Exempt Status 

An organization wishing to apply for tax-exempt status must realize it is a complex and cumbersome process. An attorney specializing in this area is probably necessary because the laws and procedures written for qualifying as a tax-exempt organization are very confusing and constantly changing. If a student organization is qualified for tax-exempt status, it would most likely be covered under 501(c)(3) or 501(c)(7) sections in the IRS tax code and would file a form 1023. There is also a possibility that an organization with a primary purpose to support the university or a department could qualify under 501(a). These groups would file a form 1024 with the IRS. The application process will take a minimum of six months, but may last more than year before a tax-exempt certificate is issued.

Opening A Bank Account/Employer Identification Number (EIN) 

If your organization is trying to open an off-campus bank account, the bank will request your organization’s tax ID number (a.k.a. Employer Identification Number). If the organization is tax-exempt, then give the bank your tax-exemption number. If your organization needs to apply for a tax ID number, fax a request for catalog #16055 to the IRS in Austin, TX at 703/368-9694. The IRS will fax back to you the SS-4 form which you will need to complete and fax the completed form to 512/460-8000. Organizations may also set up accounts with the university, called agency accounts, instead of using a bank.

Hey, all!  I hope everyone’s having a great summer thus far!  Instead of sending you all emails, I’m going to start blogging and leaving information up for you all throughout the year every month.  Of course, if something pertinent comes up I will send an email, but regarding monthly information, I’m going to use this blog.  Use this as a resource, and encourage your members to keep this tab bookmarked as a favorite!  With that being said, Sport Clubs Officers Retreat will take place on Saturday, August 27th at the SUB!  This is mandatory for all officers of the SCF!  Information to come later this summer!

SCF Executive Council






The SCF Executive Council is a group of officers that are invited by the Assistant Director of Sport Clubs & Special Events.  Their duties range from approving new sport clubs into the SCF to determining budgets for the SCF.

FLI 2011 was a huge success for our program!  Thanks to all of those who participated, especially our Facilitators, as we have some great momentum for our leaders headed into the 2011-12 year.  Club First, Team Second is our saying from here on it, and there’s great optimism with these leaders as they can make the same impact our previous FLI Class (2009) made for our program!

RED RAIDER ORIENTATION STUDENT ORGANIZATION FAIR
Your organization is invited to take part in the 2011 Student Organization Fair the Campus Life Office is hosting at each orientation session this summer.  With over 6000 new students expected to be coming through Red Raider Orientation this summer, this is a great opportunity for you to showcase your organization to incoming students and aid any recruitment you may be doing for the upcoming school year.
